Terms and Conditions for Professional Events

1. Introductory Provisions

1.1

These Terms and Conditions (hereinafter referred to as the “Terms”) govern the rights and obligations between Svaz zakládání a údržby zeleně, z. s., with its registered office at Údolní 567/33, 602 00 Brno, Czech Republic, Company ID: 26529831, VAT ID: CZ26529831 (hereinafter referred to as “SZÚZ”), as the organiser of professional events, and the participant registering for such an event.

1.2

By registering for an event, the participant confirms that they have read and agree to these Terms.

1.3 Effectiveness of Registration

Registration for an event is binding; however, a place at the event is guaranteed only upon full payment of the registration fee.
SZÚZ reserves the right to cancel a registration that has not been paid by the due date stated on the invoice.

The contractual relationship between SZÚZ and the participant is established at the moment the payment is credited to the SZÚZ bank account.

2. Services Provided

SZÚZ organises professional events, in particular conferences, seminars, workshops and excursions.
Current information about individual events (programme, price, scope of services) is published on the SZÚZ website or the websites of partner associations.

2.1 Scope of Services

The registration fee includes the services specified for the particular event (e.g. participation in the programme, catering, interpretation, study materials).
Information communicated by email is considered binding.

2.2 Catering and Food Services

If refreshments or meals (e.g. lunch, coffee break, buffet) are included in the registration fee, the participant acknowledges that these services are ordered in advance and represent non-refundable costs.

In the event of cancellation within the period subject to cancellation fees, SZÚZ may include the costs of already ordered catering up to the amount of the cancellation fee.

2.3 Dietary Requirements

The participant is obliged to notify any dietary or nutritional requirements no later than five (5) working days before the event, unless otherwise specified by the organiser.
Requirements communicated later may not be accommodated.

3. Payment Terms

3.1 Payment

The registration fee is payable on the basis of a pro forma invoice issued after receipt of the registration.
Upon receipt of payment, the participant will receive a tax invoice or confirmation of payment.

3.2 Due Date

Payment must be made within the period specified on the invoice.
Unpaid registrations may be cancelled by SZÚZ after the due date.

3.3 Validity of Registration

Registration becomes valid only once the payment has been credited to the SZÚZ bank account.
Until that moment, SZÚZ is not obliged to reserve a place for the participant.

3.4 International Payments

Registration fees are normally invoiced in Czech crowns (CZK).
Upon the participant’s request, an invoice may be issued in euros (EUR).
In the case of invoicing in EUR, fixed fees listed on the English version of the organiser’s website shall apply.
No currency conversion between CZK and EUR is applied.

4. Changes to Programme, Date and Organisation

4.1 Programme Changes

SZÚZ reserves the right to modify the event programme (e.g. changes to speakers, topics or schedule).
In the event of a substantial change, participants will be informed without undue delay.

4.2 Change of Date

For reasons beyond the control of SZÚZ (e.g. lecturer illness, technical reasons, force majeure), the event may be rescheduled to a different date.
The participant may accept the new date or cancel their participation with a refund of the registration fee.

4.3 Event Cancellation

If the event is cancelled, SZÚZ will refund the registration fee in full, unless otherwise stated in the conditions of the specific event.

5. Cancellation Policy

Cancellation of participation must be made in writing by email.
The decisive date is the date the cancellation is received by SZÚZ.

5.1 Excursions

  • 50–30 days before the event: cancellation fee 50%
  • 29–0 days before the event: cancellation fee 100%

5.2 Seminars, Conferences and Workshops

  • 10–5 working days before the event: cancellation fee 50%
  • Less than 5 working days before the event or non-attendance: cancellation fee 100%

If study materials are part of the event, the participant is entitled to receive them even in the case of a 50% or 100% cancellation fee.

5.3 Substitute Participant

The participant may send a substitute at any time free of charge; the name of the substitute must be notified before the start of the event.

6. Obligations of the Participant

The participant is obliged to:

  • provide true and complete information during registration,
  • follow the organiser’s instructions,
  • respect the operational and safety rules of the venue,
  • inform the organiser of any circumstances that may affect the course of the event (e.g. health limitations).

7. Photography and Video Recording

Photographs and audiovisual recordings may be taken at events organised by SZÚZ for documentation and promotional purposes of SZÚZ and its partner associations.

The participant may object to the publication of their likeness at any time, either on site or by email.

8. Personal Data Protection (GDPR)

8.1 Data Controller

The controller of personal data is SZÚZ.

8.2 Scope of Data

Processed data include identification, contact and invoicing details of the participant, and, where applicable, preference data (e.g. catering requirements).

8.3 Purpose and Legal Basis

Personal data are processed for the purposes of:

  • registration and participant records,
  • organisation and communication,
  • accounting,
  • marketing and promotion of SZÚZ activities,

in accordance with Article 6(1)(a), (b) and (f) of the GDPR.

8.4 Data Retention

Personal data are retained for the duration of the contractual relationship and subsequently for five (5) years.

8.5 Data Recipients

Data may be transferred to contractual processors (e.g. accounting services, IT support).

8.6 Rights of the Participant

The participant has the right to access, rectification, erasure, restriction of processing, objection, data portability, and the right to lodge a complaint with the competent supervisory authority.

9. Final Provisions

SZÚZ shall not be liable for damages caused by improper use of information or for the loss of personal belongings of participants during the event.

These Terms enter into force on the date of publication.
SZÚZ reserves the right to update them; the current version is available on the organiser’s website.
